01 / Intake

A standardized application that's actually yours.

The form you wish you'd had three election cycles ago. Configure the questions you need, collect responses in one place, review applicants in a single queue — and when you approve, they're in your roster, ready for everything else.

Configurable questions

Build the intake your office actually needs. Different elections, different questions, same clean data on the other side.

A single review queue

All applicants, sortable and filterable. See exactly what each person submitted, in plain language, with returning-worker history attached.

Approve once, in for everything

An approved applicant becomes a worker on your roster — instantly ready to be staffed, trained, and messaged. No second tool. No re-keying.

Their application, forever

Years later, you can still see what they wrote. The record stays attached to the worker.

02 / Elections & staffing

Don't start from scratch. Ever.

Set your locations and precincts up once. Build election templates that capture how your office actually runs an election. Spin up a new instance for the next one, and let PollWare auto-staff from last cycle's assignments. Tweak, approve, done.

Locations & precincts

A clean source of truth for every place a ballot is cast — owned by your team, edited in place, never out of date.

Election templates

Define what an election looks like — roles per precinct, the rules of staffing, the cadence — once. Reuse forever.

Election instances

Each real election is an instance of a template. That's what you staff against, what your workers see in the app, and what the day operates on.

Auto-staffing from past elections

Want to repeat last cycle's assignments? One click. Want to vary by zone, role, or experience? Filter, then click. Knock them out.

Election positions & officers

Promote workers into officer roles per election. Officers see and message only their precinct — the right access, automatically.

03 / Mobile & communications

Where your workers already live.

Poll workers want one thing: an app on their phone that tells them where to be, when, and who to talk to. PollWare gives them that — and gives your officers a clean way to reach them without anyone trading personal phone numbers.

iOS & Android apps, included

Native apps for both platforms. Push notifications. Email fallback. Designed for poll workers, not enterprise admins.

Assignments at a glance

Active and upcoming. Where to be, when, in what role, with what training still required.

Precinct group chats, auto-created

Every staffed precinct gets a chat on election day, populated from the roster. No invitations, no missing-link members, no "wait, what's the link?"

DMs without phone numbers

Officers can reach any worker directly, and vice versa, without anyone exchanging a personal cell. Privacy is the default, not a setting.

Officer view of the precinct

An officer sees their workers, their training status, their check-ins — and can message any of them, in chat or by DM.

04 / Training

The reminders, finally, send themselves.

Build training requirements out of the events you actually run — in-person sessions, online modules, refreshers. Track who's current and who isn't. Let PollWare nudge the people who need nudging.

Requirements

Built around your reality

A training requirement can have one event or twenty. By role, by election, by precinct.

Online modules

Delivered through the mobile app

Workers complete required learning on their phone, at their pace. Completion shows up on your roster automatically.

Reminders

Push, email, on time

Event reminders. Expiration reminders. The right person, the right channel, without you sending a thing.

Status at a glance

Who's current, who isn't

One look tells you who can be staffed, who needs the next class, and who's lapsed. Filter and send to just them.

Election day

When the doors open, you watch the day, not the inbox.

Staffing readiness

Live, per precinct

Who's checked in, who's late, who's missing — and which precincts are fully staffed, by role.

Ballot tracking

Per precinct, throughout the day

Track ballot submissions by precinct as the day unfolds. Spot anomalies early; close the day with clean numbers.

Group chats & DMs

Open, by default

Every precinct chat is live. Officers DM workers without trading numbers. Your office is one tab away.

Push notifications

Reach who you need to

To the whole precinct, to one officer, to one worker — instantly, in the app they're already in.

Worker visibility

Assignments & trainings

Workers open the app and see where to be, what to do, and what they're still required to complete.

Officer access

Scoped to their precinct

Officers see and message their workers — and only theirs. The right access, automatically, every election.

Security & trust

The basics, properly done.

Identity

Passwordless sign-in

Workers and admins sign in with a one-time link sent to their email — no passwords to remember, reset, or phish. Strong by design, painless for poll workers.

Encryption

In transit and at rest

TLS in transit. Encrypted at rest. Sensitive fields handled with care.

Roles

Least privilege

Admin, officer, worker — each role sees only what it should. Officers can message only their precinct.

Privacy

No phone numbers shared

Workers and officers communicate inside the app. Personal contact info stays personal.

Hosting

US infrastructure

Hosted in the United States, on standard enterprise cloud infrastructure.

Data ownership

Your data, your export

Full export, any time, in standard formats. No data hostage clauses on renewal.

Common questions

Plain answers.

Does PollWare replace our voter registration system or tabulator?
No. PollWare is for the work around poll workers and election operations — intake, staffing, training, communications. It sits alongside the systems of record you already have.
Do you manage equipment, supplies, or chain of custody?
No — not today. PollWare is focused on the people side of running an election: applicants, workers, officers, training, and communications. We'd rather do a few things excellently than a lot of things half-well.
What does onboarding look like?
A scoped pilot in one election cycle. We bring the platform; you bring one or two real workflows — usually intake and one election instance. We learn your office, you learn the tool, and by the next cycle PollWare fits.
What about poll workers without smartphones?
Everything they need also works via email — reminders, training links, assignments. The app is a better experience for the workers who'll use it; nobody is locked out without one.
Can our state oversight body or auditor get access?
Yes, read-only roles are first-class. You decide what's shared and when.
What happens to our data if we leave?
It's yours. Export anything, any time, in standard formats. No lock-in clauses.
How is PollWare different from a generic CRM or scheduling tool?
A generic tool can be bent into election work, and many offices have. PollWare ships with the data model and workflows election offices actually use — applicants, precincts, election templates, officers, group chats — out of the box. It's not modules taped together. It's one product.
