Privacy Policy

VoteOne LLC (“VoteOne,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit our website (voteone.app), request a product demo, or use our applications, including the PollWare mobile application and the PollWare web platform (collectively, the “Services”).

By using the Services, you agree to the practices described in this Policy. If you do not agree, please do not use the Services.

1. Who We Are

VoteOne LLC is a Tennessee limited liability company that builds software for election administrators and the poll workers who serve them. For privacy inquiries, contact us at privacy@voteone.app.

2. Information We Collect

2.1 Information You Provide

  • Demo and contact requests. If you submit a demo request or contact form on our website, we collect your name, email address, organization, phone number (optional), and any message content you provide.
  • Account information. When an authorized user creates an account in the PollWare mobile app or the PollWare web platform, we collect basic profile details such as name, email address, and phone number.
  • Communications with us. If you email, call, or otherwise contact us, we retain the contents of those communications.

2.2 Information Collected Automatically

  • Push notification tokens. If you enable push notifications in the mobile app, we store the device token issued by Apple Push Notification service (APNs) or Firebase Cloud Messaging (FCM) so that we can deliver notifications you have opted in to receive, along with your notification preferences.
  • Operational and security logs. Our hosting and authentication providers generate logs (IP address, timestamps, request metadata) used to operate, secure, and troubleshoot the Services.
  • Cookies on our website. Our marketing website uses only strictly necessary cookies. We do not currently use advertising, analytics, or cross-site tracking cookies on the marketing site. See our Cookie Policy for details.

2.3 Information We Do Not Collect

The PollWare mobile app does not collect precise location data, biometric identifiers, contacts, photos, microphone input, or health data.

Our commitment on data sales. VoteOne does not sell personal information, and we will never sell personal information. We do not use personal information for advertising and we do not build profiles for third parties. Personal information is collected and used only to operate the Services for you and your organization.

3. How We Use Information

We use personal information to:

  • Provide, maintain, and improve the Services;
  • Authenticate users and secure their accounts;
  • Send operational communications you have requested or that are necessary to provide the Services (e.g., training reminders, account notices);
  • Respond to demo requests, support inquiries, and other communications;
  • Detect, prevent, and address fraud, abuse, and security incidents;
  • Comply with legal obligations and enforce our agreements.

4. Legal Bases (EEA/UK Users)

If you are located in the European Economic Area or the United Kingdom, we process your personal information based on: (a) your consent (for example, to send push notifications); (b) performance of a contract (to provide the Services to you or your organization); (c) compliance with a legal obligation; and (d) our legitimate interests in operating and improving the Services, where those interests are not overridden by your rights.

5. How We Share Information

We do not, and will never, sell personal information. We share information only as described below:

  • Service providers. We use vetted third-party providers to operate the Services, including hosting and database infrastructure (Supabase), email delivery (Resend), SMS messaging (Twilio), and push notification delivery (Apple Push Notification service and Firebase Cloud Messaging). These providers process information on our behalf under written agreements that restrict their use of the data.
  • Your organization. If you access the Services through an election jurisdiction or other organization, the administrators of that organization may have access to information related to your use of the Services.
  • Legal and safety. We may disclose information if we believe in good faith that doing so is required by law, legal process, or to protect the rights, property, or safety of VoteOne, our users, or the public.
  • Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction, subject to standard confidentiality protections.

6. Data Retention

We retain personal information for as long as needed to provide the Services and for legitimate business purposes such as complying with our legal obligations, resolving disputes, and enforcing our agreements. When data is no longer needed, we delete or de-identify it. Demo request information is retained for up to 24 months unless you ask us to delete it sooner.

7. Your Rights and Choices

Depending on where you live, you may have rights regarding your personal information, including the right to access, correct, delete, or port your information, and to object to or restrict certain processing. To exercise these rights, email privacy@voteone.app. We will respond within the timeframes required by applicable law.

7.1 Account Deletion

You can request deletion of your VoteOne or PollWare account at any time by emailing privacy@voteone.app from the address associated with your account. We will confirm the request, delete the associated personal information from active systems, and remove it from backups in the ordinary course of our retention schedule. Some information may be retained as required by law or to resolve disputes.

7.2 Push Notifications

You can control push notifications at any time through your device's system settings or by changing your preferences in the app.

7.3 California Residents

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete personal information, the right to correct inaccurate information, and the right to opt out of “sales” or “sharing” of personal information. We do not sell or share personal information as those terms are defined under the CCPA.

8. Children's Privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us at privacy@voteone.app and we will take appropriate steps to delete it.

9. International Data Transfers

We are based in the United States and primarily process personal information in the United States. If you access the Services from outside the United States, you understand that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.

10. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, and tenant-level isolation within our platform. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. If we make material changes, we will provide additional notice (for example, by email or an in-product notice).
